MojoAcademy
Privacy Notice
The short version
- We collect what we need to run your courses, assessments, and certification, plus what you choose to add to your profile.
- We use one cookie, to keep you signed in. We do not use advertising or analytics cookies, and we do not sell or rent your information.
- AI helps run practice conversations and suggests assessment scores. A Master MojoCoach reviews and scores every certification assessment without seeing your name or the AI’s scores, and people make every certification decision. Voice delivery feedback, a separate offering from certification, comes straight from the AI.
- We do not keep recordings of your voice. Audio is sent for transcription and deleted by our provider within 48 hours.
- You can download your data from your profile at any time, and you can ask us to correct or delete it.
1. Who we are
MojoAcademy is an online learning and certification platform operated by Mojo Moments® ("Mojo Moments®," "we," "us," or "our"). Mojo Moments® decides how and why personal information on MojoAcademy is used, which makes us the "controller" or "business" responsible for it under privacy laws.
Dansbee Designs builds and maintains the MojoAcademy platform for us. It works with personal information only on our instructions and only to develop, host, secure, and support the platform.
This notice covers the MojoAcademy website, the signed-in learning platform, practice and certification assessments, the community features, and the emails we send you. If an organization enrolled you (for example, your employer or a training partner), that organization may also have its own privacy notice for the information it holds about you.
2. Information we collect
Information you or an administrator provide
- Account details: your name, email address, role, cohort, and the courses you are enrolled in. Accounts are created by invitation, so an administrator usually enters these first.
- Account requests: when a member of our team asks for an account or course access for you, the request records your name and email address, the access requested, the reason given, and who asked for it and who approved it.
- Profile details you choose to add: display name, job title, short bio, profile photo, phone number, contact email, social media links, and your visibility, notification, and language settings.
- Community and feedback content: comments and reactions you post, course feedback and ratings, and messages you send through the feedback button. If you give permission, a quote from your feedback may appear as a testimonial on our website, shown with your first name and last initial.
- Browser Check reports: if you choose Report this on the Browser Check page, we receive that check’s results, your browser and device details (such as browser version, screen size and language), the country your connection comes from, and your name and email address if you are signed in. We use them only to fix the problem you reported.
Information created as you learn
- Progress: which modules you have completed and when, and which course resources you have downloaded.
- Practice and assessment sessions: the transcript of each scenario conversation (what you type or say, and what the simulated coaching client says back), saved as the conversation happens, so a session you leave early keeps what was said, the date and length of the session, and whether it counted toward certification. For certification assessments, which allow one attempt, we also keep a record of each attempt you start and of any extra attempt an administrator allows, with the reason. In audio scenarios, we also count how many times you use the Repeat button to replay the client’s last reply. The Master MojoCoach reviewing your session can see that count, but it does not affect your score. If you pause a session, we record when each pause started and ended; reviewers see where and how long you paused, for context only, and it does not affect your score. We also record which synthetic voice and voice speed the simulated client used, so reviewers know what you heard.
- Scores and reviews: AI-suggested scores for each assessment criterion with the passages that support them, a record of any flagged language in your messages with whether it counted as a language deduction and why, the scores and notes of the Master MojoCoach who reviews your session, and your overall result. During scenario testing, one or more testing scorers may also score your session on their own, without seeing your name. Their scores are used only to check how consistently the scoring guide is applied; they never change your result.
- If you are a testing scorer: the sessions assigned to you, the scores, evidence and notes you enter, and when you open and submit each scoresheet.
- If you take part in a scenario test event: your name, email and role on the event’s participant list, and any notes you write in the event log with the time you wrote them.
- Voice delivery feedback: if you use voice coaching, measurements of how you spoke (such as pace, filler words, and pauses) and a short written summary of them.
- Certificates: the certifications you have earned, with dates and results.
- Community membership: whether you hold a community membership and how it was granted.
Voice and microphone
Speaking instead of typing is optional. When you record a response for voice coaching, the audio is sent directly to our transcription provider, AssemblyAI, to be converted to text and measured. We do not store the audio on our own servers. See How long we keep it for how the provider deletes it.
If you use the microphone button to dictate a message, your speech is streamed live to AssemblyAI and turned into text as you talk. The audio is not saved by us or by AssemblyAI, and the words only become part of your conversation when you send the message. If live dictation is unavailable, the platform may fall back to the speech-to-text feature built into your web browser. In that case, depending on your browser, the company that makes it (for example, Google for Chrome or Apple for Safari) may process that audio under its own privacy policy. You can always type instead.
Information collected automatically
- Sign-in and security data: a session identifier stored in a cookie, the times you sign in and were last active, the last page of the site you opened, and short-lived counters (keyed to your email address or IP address) that block repeated sign-in or posting attempts.
- Download records: the IP address and time when you download a course resource.
- Technical data: our hosting provider receives the IP address, browser type, and pages requested by every visitor so it can deliver the site and protect it from attacks. We also keep a short technical error log (the page or outside service involved, the time, and the kind of error) so we can find and fix problems quickly. It does not include your name, email address, or anything you wrote or said.
We do not use analytics or advertising tools that track you, and we do not buy information about you from data brokers. We do not currently take payments on this site. If we add online payments, a payment processor will handle your card details and we will update this notice first.
3. How we use it
We use personal information only for the purposes below. Where the law of your location (such as the European Union or United Kingdom) requires a legal basis, it is listed with each purpose.
| Purpose | Legal basis |
|---|---|
| Create and run your account, deliver courses, track progress, and send sign-in links | Performing our contract with you |
| Run practice and certification assessments, score them, and issue certificates | Performing our contract with you |
| Send course notifications, reminders, and certificate emails (you can turn off optional notifications in your profile) | Performing our contract; legitimate interests |
| Run the community: show your comments and profile to other members according to your settings | Performing our contract with you |
| Check the accuracy and fairness of AI-suggested scores by comparing them with Master MojoCoach scores, and check that human scorers apply the scoring guide consistently | Legitimate interests in reliable, fair certification |
| Keep the platform secure, prevent abuse, and fix problems you report | Legitimate interests |
| Publish testimonials from your feedback | Your consent, which you can withdraw at any time |
| Keep records of certifications issued and of account deletions, and meet legal obligations | Legitimate interests; legal obligation |
We do not use your information for advertising, and we do not sell it or share it for cross-context behavioral advertising.
4. AI-assisted assessment
MojoAcademy uses AI in three ways: to play the simulated coaching client in scenario conversations, to suggest scores for assessment criteria based on the transcript (including whether a flagged phrase in your message counts as a language deduction, judged from its context), and to write short feedback about voice delivery. These features are provided by Anthropic (Claude) and, for transcription, AssemblyAI.
We also use Anthropic (Claude) to translate course material into other languages. Only the course material is sent for translation, never your information. Translations are reviewed by people before learners see them: our team and, for some languages, a translation partner working for Mojo Moments under a confidentiality agreement. Partners receive course material only, never information about learners. If you choose a language in your profile, we use that setting to show you the translated course; practice conversations, transcripts, and assessment scoring stay in English.
- People decide certification. A Master MojoCoach reviews and scores every assessment that counts toward certification and decides whether you are competent. The review is blind on screen: MojoAcademy doesn’t show the Master MojoCoach your name or the AI’s suggested scores until they have recorded their decision and the review is released, which happens when every session in your cohort has been reviewed (or when an administrator releases it). Your Master MojoCoach may also facilitate your course and may recognize you from your session; hiding the AI’s scores keeps their decision based on your session alone. AI scores are suggestions and never decide a certification on their own. The same goes for the automatic check for discouraged phrases: on a certification assessment, the Master MojoCoach decides whether each flagged phrase counts. An administrator at Mojo Moments® issues a certification only after the Master MojoCoach has found you competent. Certification decisions are made by people, not by an automated system.
- Voice delivery feedback is automated. Voice delivery feedback, which looks at how you speak during a coaching conversation, is a separate offering from MojoCoach certification. Its AI-generated feedback comes straight to you without a person reviewing it first, and it is not used to make certification decisions.
- You can ask questions. If you want to know how an assessment was scored, or you believe a score is wrong, contact us and a person will review it with you.
- No model training. Our AI providers process your content to provide the service to us. Our agreements with them do not allow them to use your content to train their AI models.
5. Who we share it with
Within MojoAcademy
- Facilitators and administrators at Mojo Moments® see your account, progress, sessions, scores, and certificates so they can teach, assess, and support you.
- Master MojoCoaches see only the sessions assigned to them for review. They see your name and the AI’s suggested scores only after their review of your session is complete and released, as described above.
- Testing scorers chosen by Mojo Moments® during scenario testing see the transcript of a session assigned to them, without your name, and score it. They don’t see your other information.
- Other members see your comments, reactions, and the profile details you choose to make visible.
- Administrators can hide, edit, or remove comments under our Terms of Use. When they do, we keep a short record of the action (who, when, and which comment) without the comment's text. You still see your own hidden comments, marked as hidden. Administrators can also choose to get new comments by email, including questions you mark for instructors only, so they can read and answer them sooner.
- Your organization: if an organization enrolled you, we may share your enrollment, progress, and certification status with it.
Service providers
These companies process personal information on our behalf, under contracts that limit their use of it to providing their service:
| Provider | What they do | Information involved |
|---|---|---|
| Cloudflare | Hosting, database, file storage, and security | All platform data; visitor IP addresses |
| Resend | Sending email | Name, email address, email content |
| Anthropic | AI scenario conversations, suggested scores, feedback, and course translation | Session transcripts and voice delivery measurements; course material for translation (no personal information); messages sent through the feedback button, so they can be sorted and summarized for our team |
| AssemblyAI | Transcribing voice recordings and live dictation | Audio you record for voice coaching; speech you dictate with the microphone button |
| ElevenLabs | Giving the simulated coaching client a spoken voice | The simulated client's lines (not your voice or your messages) |
| Dansbee Designs | Building, maintaining, and supporting the platform | Platform data, as needed for support and fixes |
Other situations
- Legal reasons: when we believe in good faith that the law, a court order, or a valid government request requires it, or to protect the rights, safety, or property of our users, the public, or Mojo Moments®.
- Business changes: if Mojo Moments® is involved in a merger, acquisition, or sale of assets, personal information may transfer as part of that deal. The new owner must continue to protect it as this notice describes, and we will tell you before that happens.
- With your permission: for any other purpose you agree to.
6. Cookies and similar technologies
We use one cookie:
| Name | Purpose | Type | Duration |
|---|---|---|---|
| sid | Keeps you signed in and protects your account | Strictly necessary | 30 days, or until you sign out |
Because this cookie is necessary for the service you ask for, it does not require consent, and there is no cookie banner. We do not use analytics, advertising, or social media tracking cookies.
The platform also saves a few settings in your browser's local storage (for example, light or dark theme, how you arranged the page, and that you have completed the Browser Check). These stay on your device and are not sent to us. The Browser Check’s microphone test only measures how loud the sound is, on your device; nothing is recorded or sent.
Embedded videos use YouTube's privacy-enhanced mode and Vimeo's do-not-track setting. YouTube or Vimeo may still set their own cookies when you play a video, under their own privacy policies. Fonts are delivered from our own domain, so loading a page does not send your information to a font provider.
Do Not Track: we do not track you across other websites, so browser Do Not Track and Global Privacy Control signals do not change how the site works. We honor them as a request not to sell or share your information, which we do not do.
7. How long we keep it
We keep personal information only as long as we need it for the purposes above:
| Information | How long |
|---|---|
| Account, profile, enrollments, progress, comments, and feedback | While your account is open. Deleted when your account is deleted. |
| Session transcripts, scores, Master MojoCoach notes, testing scorers’ scores of your sessions, and voice delivery feedback | While your account is open, because they support your certification record. Deleted when your account is deleted. |
| Scoresheets you fill in as a testing scorer | Kept as part of the scoring-quality record, with your name, even after your account is deleted. Deleted if the session they score is deleted. |
| Test event participant list and notes | Kept as part of the test event record, with your name, even after your account is deleted, until an administrator removes the entry. |
| Browser Check reports | Kept in our support email only as long as we need them to fix the problem, then deleted. |
| Voice audio | Not stored by us. AssemblyAI deletes uploaded audio within 48 hours, and we delete the transcript from AssemblyAI as soon as your feedback is ready. Live dictation audio and its text are not kept by us or by AssemblyAI after the dictation ends. |
| Certificates | While your account is open. After deletion, a record of the certifications issued is kept (see below). |
| Record of assessment attempts (each attempt started, and any extra attempt allowed, with who allowed it and why) | Kept as part of the account history, including after an account is deleted, so we can show how certification attempts were handled. |
| Account requests (who asked for an account or access, for whom, and who decided) | Kept as part of the account history, including after an account is deleted, so we can show how and why access was given. |
| Record of a deleted account: name, email address, roles, account dates, and a summary of certifications held | Kept so we can verify certifications we issued, answer questions about them, and show that the account was deleted. |
| Sign-in links | 15 minutes, and they work only once |
| Sign-in sessions | 30 days, or until you sign out |
| Security counters (sign-in and posting limits) | 2 days |
| Technical error log | 30 days |
| Messages sent through the feedback button | Until the issue is closed, then one more year. If you were signed in, deleted when your account is deleted. |
| Database backups | Up to 30 days, after which deleted information is gone from backups too |
8. Your rights and choices
Depending on where you live, you may have the right to:
- Access and portability: get a copy of your information. Signed-in users can download it at any time from Profile, Privacy and data, in a machine-readable file.
- Correction: fix information that is wrong. You can edit most profile details yourself; contact us for anything else, such as your name or email address.
- Deletion: ask us to delete your account and information, subject to the records described in section 7.
- Objection and restriction: object to uses based on our legitimate interests, or ask us to limit how we use your information.
- Withdraw consent: for example, ask us to stop showing your testimonial. This does not affect anything done before you withdrew it.
- Human review: ask a person to review an assessment result and explain how it was reached.
- Opt out of sale or sharing: we do not sell or share personal information for advertising, so there is nothing to opt out of.
To make a request, email [email protected]. We will confirm the request comes from you (usually by replying to the email address on your account) and respond within 30 days. If a request is complex we may need longer where the law allows it, and we will tell you why. You may use an authorized agent where your local law allows; we may ask for proof of their authority. We will not treat you differently for using your privacy rights.
